Sharing Documents for a Meeting within Your Team

Scan documents for a meeting and save them as a PDF file in the shared folder. You can share the file easily by informing your team members of the folder in which the file is saved.

This section explains how to save image files of documents for a meeting which were scanned with the ScanSnap in the shared folder in order to share them with your team members.

  1. Prepare documents to be scanned with the ScanSnap.

    Prepare the documents for a meeting that you want to share with your team members.

  2. Open the ADF paper chute (cover) of the ScanSnap to turn the power on. Hold the right side of the ADF paper chute (cover) of the ScanSnap then open it or press the [Scan] button to turn it on. Open the feed guide of the ScanSnap to turn the power on.

    When the ADF paper chute (cover) is opened, the extension will rise automatically.

  3. Open the ADF paper chute (cover) of the ScanSnap to turn the power on. Hold the right side of the ADF paper chute (cover) of the ScanSnap then open it or press the [Scan] button to turn it on. Open the feed guide of the ScanSnap to turn the power on.

    HINT
    • If you want the documents to be ejected from the front of the ScanSnap or when there is not enough space where the documents exit the ScanSnap, open the output guide.

    • How the documents are ejected differs as below depending on whether the output guide is open or closed.

  4. Press the [Scan] button or [Stop] button on the ScanSnap to turn the power on.

  5. Prepare a profile in ScanSnap Home.
    1. Click the [Scan] button at the top of the Main Window of ScanSnap Home to display the Scan Window.

      If the main window is not already displayed, refer to To Display the Main Window.

      If the main window is not already displayed, click the [ScanSnap Home] icon ScanSnap Home Icon in the application list that appears when you click Launchpad in the Dock.

       

    2. Click Profile Adding Icon to display the [Add new profile] Window.
    3. Select [Share Docs] from the template list.
    4. Specify a shared folder on the network for [Save to].

      If necessary, change other scan settings.

    5. Click the [Add] button to add this profile to the profile list in the scan window.
  6. In the home screen on the touch panel, select the profile that you added in step 3 from the profile list.
  7. Check that the profile that you added in step 3 is selected in the profile list in the scan window.
  8. Scan a document with the ScanSnap.
    1. Place the Background Pad on the front side of the ScanSnap.

    2. Place the document in the scan area of the ScanSnap.

      For details about the scan area, refer to Placing a Document.

    3. Press the [Scan] button to start scanning the document.

      To continue scanning, place the next document to be scanned and press the [Scan] button.

      ATTENTION
      • Do not cover the white sheets on the ScanSnap with your hands or with something else while scanning a document. The color reproducibility of the scanned image will be affected.

      • Do not shake the table or desk when the ScanSnap is being used or move the document while it is being scanned. Doing so may distort the scanned image or blur the color.

      HINT
      • The timed mode enables you to scan documents automatically without pressing the [Scan] button. For details, refer to Scanning Documents Using Timed Mode.

    4. Press the [Stop] button to finish scanning documents.
    5. Select a method to save scanned images in the [ScanSnap Home - Image scanning and file saving] window of ScanSnap Home.

      Select [Crop and save flat document images as-is] and then click the [Save this image] button.

      Select [Flat] and then click the [Save this image] button.

      • Click the [Check/Correct] button in the [ScanSnap Home - Image scanning and file saving] window to correct the scanned image.

    6. Pull out the extension and the stacker on the ADF paper chute (cover).

    9. Load a document in the ADF paper chute (cover).

      Load the document face-down and head-first with the back facing you (when loading multiple documents, the last page is on the top).

      Adjust the number of documents so that they do not go beyond Mark That Indicates the Maximum Number of Documents to Be Loaded within the side guides when they are loaded.

    10. Align the side guides with both ends of the document.

      Hold each side guide in the middle to adjust them. Otherwise, the document may be fed skewed during scanning.

    11. Pull out the extension on the ADF paper chute (cover) and open the stacker.

    12. Load a document in the ADF paper chute (cover).

      Load the document face-down and head-first with the back facing you (when loading multiple documents, the last page is on the top).

      Adjust the number of documents so that they do not go beyond the reference marks and are kept within the side guides when they are loaded.

    13. Align the side guides with both ends of the document.

      Hold each side guide in the middle to adjust them. Otherwise, the document may be fed skewed during scanning.

    14. Load a document in the ADF paper chute (cover).

      Load the document face-down and head-first with the back facing you (when loading multiple documents, the last page is on the top). Adjust the number of documents so that they do not go beyond the reference marks and are kept within the side guides when they are loaded.

    15. Align the side guides with both ends of the document.

      Hold each side guide in the middle to adjust them. Otherwise, the document may be fed skewed during scanning.

    16. Load the documents in the ADF paper chute (cover) or insert the document into the manual feeder.
      • When scanning documents all at once (U-turn Scan)

        Load the documents in the ADF paper chute (cover), and align the side guides with both ends of the documents.

        Load the document face-up and head-first with the front facing you (when loading multiple documents, the first page is on the top).

        ATTENTION
        • Make sure that the document support tab is open.

          Otherwise, a paper jam may occur.

          If the document support tab is closed, pull it up with your fingers.

        • If the document support tab comes off, contact the distributor/dealer where you purchased this product.

      • When scanning documents one by one (Return Scan)

        Insert a document into the manual feeder.

        Face the front side of a document upwards and insert the top end of the document straight into the middle of the manual feeder.

        Make sure that the document is fed into the ScanSnap and is held firmly.

        • The document comes out from the back of the ScanSnap during the scan.

          Leave space (about the length of the document) at the back of the ScanSnap.

        HINT
        • You can scan a document with the ADF paper chute (cover) closed.

    17. Press the [Scan] button.

      After scanning is complete, if the message "Load the next document." is displayed, you can continue scanning.

      To finish scanning, click the [Finish Scanning] button or press the [Scan] button on the ScanSnap.

    18. Insert the document straight into the feeding section of the ScanSnap, with the scanning side facing up.
      Make sure that the document is fed into the ScanSnap and is held firmly.

      HINT
      • When you perform a scan with the output guide closed, leave enough space at the back of the ScanSnap to allow the document to be completely ejected.

        Make sure that the area where the document exits the scanner is clear of any obstacles. Otherwise, a paper jam may occur.

    19. Press the [Scan] button. Press the [Scan] button.
    20. Press the [Scan/Stop] button to start scanning the document.

      To continue scanning, insert the next document to be scanned. When the document is inserted, scanning starts automatically.

    21. Press the [Scan/Stop] button to finish scanning the document.
  9. When the [Scan to Folder] Window of ScanSnap Home is displayed, check the title of the content data record, specify a save destination where a scanned image is saved, and then save the image in that destination.
    HINT
    • In the [Scan to Folder] window, you can use Preview to check the image in order to change the orientation of pages, remove unnecessary pages, or display the viewer window to edit the image before saving it.

    1. Specify a title for the content data record in the [Scan to Folder] window of ScanSnap Home.
    2. Check the shared folder to save the scanned images for a meeting.
      HINT
      • When a folder that is not managed in ScanSnap Home is specified for the save destination, content data records created from the documents that you scanned are not displayed in the content data record list view in the main window of ScanSnap Home.

    3. Click the [Save] button.

The scanned images for a meeting are saved in the shared folder.
